Your system

How to run it

The seven things you'll do most. Each one takes a minute or two. Tap any of them to see exactly where to click.

Save this page. On your phone, tap Share, then "Add to Home Screen". It'll be one tap away whenever you need it.
1Logging in

Everything below starts here. Bookmark the login page on your computer and your phone.

Open your login page
  1. Open your login page
  2. Enter your email and password, then click Sign in
  3. Forgot your password? Click Forgot password and a reset link goes to your email

2Finding and editing a contact

Every member, parent and lead has a record. That's where you fix a phone number, update an email, or add a note.

V2 — VIDEO (optional, under 1 min): finding a contact, editing a field, adding a tag

Update their details

  1. Click Contacts in the left menu
  2. Type their name, email or phone in the search bar
  3. Click their name to open the record
  4. Change the detail you need, then click Save
S2.1 — SCREENSHOT: Contacts page with the search bar highlighted
S2.2 — SCREENSHOT: an open contact record, details panel and Save button highlighted (use a test contact)

Add or remove a tag

  1. On the contact's record, find Tags
  2. Type the tag name and press Enter to add it
  3. Click the × on a tag to remove it
S2.3 — SCREENSHOT: Tags section on a contact record
Go easy on removing tags. Tags decide which emails someone gets. If you're not sure what a tag does, leave it and ask.
3Sending an email or newsletter

For announcements, promos, schedule changes and newsletters.

V3 — VIDEO (1–2 min): creating a campaign from a template, choosing recipients, sending a test, sending
  1. Go to Marketing → Emails
  2. Click New to create a campaign, then pick a template or start from blank
  3. Write your email and add a subject line
  4. Send a test to yourself and check it on your phone
  5. Choose who it goes to, then Send now or Schedule it for later
S3.1 — SCREENSHOT: Marketing → Emails with the New button highlighted
S3.2 — SCREENSHOT: email editor with subject line and send-test highlighted
S3.3 — SCREENSHOT: recipient step, with the recipient count circled
One habit worth keeping. Before you hit send, glance at the number of recipients. If it's very different from what you'd expect, stop and check. That one glance catches almost anything that could go wrong.
4Checking how an email did

See who opened, who clicked, and who didn't get it.

  1. Go to Marketing → Emails → Statistics
  2. Pick Email campaigns from the dropdown and set the date range
  3. Scroll down to see each email you've sent. Use the toggle to switch between numbers and percentages
  4. Click an email's name to see its full detail, including which links were clicked and by whom
S4.1 — SCREENSHOT: Statistics page with the dropdown and date range highlighted

What the numbers mean

Delivered
Reached their inbox provider
Opened
Opened the email
Clicked
Clicked at least one link or button
Bounced
Couldn't be delivered, usually a bad or old address
Unsubscribed
Asked to stop getting your emails
Spam
Marked your email as spam
Trust clicks over opens. Some phones open emails automatically, so open numbers run high. Clicks show who actually acted.
5Writing a new blog post

Posts go live on laidbackfitness.com/blog.

V5 — VIDEO (1–2 min): creating, setting up and publishing a post

Start the post

  1. Go to Sites → Blogs and click Laid-back Fitness
  2. Click + Create Post
  3. Add a title, a one or two sentence description, and a cover image, then click Create Post
  4. Write or paste your post. Highlight text to make headings, bold or lists, and use the toolbar to add images, videos or links
S5.1 — SCREENSHOT: Sites → Blogs → Laid-back Fitness with + Create Post highlighted
S5.2 — SCREENSHOT: blog editor with the formatting toolbar highlighted

Set it up and publish

  1. Click Continue at the top
  2. Check the URL slug, pick a Category and Author, and add a few Keywords
  3. Fill in the SEO details: title, description, and alt text for the cover image
  4. Choose Publish (live now), Schedule (pick a date and time) or Draft (save for later)
  5. Open laidbackfitness.com/blog and check it looks right
S5.3 — SCREENSHOT: post settings panel (slug, category, author, keywords, SEO)
S5.4 — SCREENSHOT: Publish / Schedule / Draft options
Posting an older article? When publishing, you can pick an earlier date so it sits in the right order on your blog.
6Editing a blog post

Fix a typo, swap a photo, or update an old post.

  1. Go to Sites → Blogs and click Laid-back Fitness
  2. Find the post in the list, or use the search box on the right
  3. Click the post's name, or the ⋯ next to it, then Edit
  4. Make your changes, click Continue, then Publish to update the live post
S6.1 — SCREENSHOT: blog post list with search box highlighted
S6.2 — SCREENSHOT: ⋯ menu open with Edit highlighted
Leave the URL slug alone on a post that's already live. Changing it breaks any link people or Google already have to that post.
7Uploading a paper waiver

When someone fills in a paper waiver at the gym, snap a photo and it's saved to their record.

Open the waiver upload form
  1. Open the upload form (bookmark it on the front-desk tablet)
  2. Enter their email. This is the one that matters, as it matches the waiver to their record. Name and phone are optional
  3. Tap Click to upload, then Take Photo, and photograph the signed waiver
  4. Tap Submit
S7.1 — SCREENSHOT: the upload form on a phone (crop the address bar)
S7.2 — SCREENSHOT: where the uploaded waiver shows on the contact record (test contact)
iA note on WellnessLiving

The connection between WellnessLiving and this system is switched off. New members and changes you make in WellnessLiving won't come across here automatically.

If you want someone on your email list, add them as a contact here (section 2). People who fill in a form on your website or upload a waiver are still added automatically.

+What's yours, and what needs us

So you're never stuck wondering where the line sits.

Yours, any time

  • Contact details and tags
  • Emails, newsletters and announcements
  • Checking email stats
  • Writing and editing blog posts
  • Uploading paper waivers

Talk to us first

  • New automations or follow-ups
  • Changing what an automation sends, or when
  • Connecting other apps
  • Website pages and forms
  • Emails not arriving or landing in spam
  • Anything that stops working and isn't explained here

None of these are big jobs for someone who knows the system. The point is that you shouldn't spend an evening trying to work them out yourself.
